Please read these terms and conditions carefully before you submit your registration to us.

Information about us and how to contact us

Who we are. We are The Dorset Mud Run, our email is office@dorsetmudrun.com Our registered address is Stock House, Stock Estate, Sturminster Newton, DT10 2BG.

How to contact us. You can contact us by writing to us at office@dorsetmudrun.com or by telephone on 01963 23511.

How we may contact you. If we have to contact you, we will do so by telephone or by writing to you at the email address you provide us when you register for the Dorset Mud Run.

​

‘Event’ means The Dorset Mud Run.

​

‘Writing’ includes emails. When we use the words ‘writing’ or ‘written’ in these terms, this includes emails.

Registrations

How we will accept your registration. Our acceptance of your Event registration will take place when we email you with confirmation of registration, at which point a contract will come into existence between you and us. We will not accept individual registrations that are not made by the individual competing in the Event. We reserve the right to decline an individual’s registration if we do not receive a signed waiver.

Team bookings. Where team bookings are made, you warrant that you have the permission of each individual to register them for the Event if you are booking for them. We reserve the right to decline a team member’s registration if we do not receive a signed waiver. When booking a team it is possible to reserve spaces for other team members to register at a later date, however if the start wave is fully booked before they register then we cannot guarantee that they will be able to run at the chosen time, and they may have to choose another start wave time.

Under 18’s. Participants aged 16 and 17 may participate in the Dorset Mud Run if accompanied by a Parent or Legal Guardian/an adult ages 18 or over and the Parent and Legal Guardian has accepted the terms of this agreement.

​

Parent/Legal Guardian. If you are the Parent or Legal Guardian of a minor, then by accepting these Terms and Conditions you are consenting to the terms of this agreements and you are agreeing to the Minors participation in the The Dorset Mud Run as the accompanying adult and direct supervision at all times.

​

If we cannot accept your Event registration. If we are unable to accept your Event registration, we will inform you of this and will not charge you. This might be because of unexpected limits on our resources which we could not reasonably plan for, because we have identified an error in the price or description of the Event, or because you have not fulfilled the eligibility criteria appropriate for the Dorset Mud Run.

Your registration number. We will assign you a registration number and tell you what it is when we accept your Event registration. It will help us if you can tell us your registration number whenever you contact us about your Event registration. Your registration number can be found in the email confirming your registration.

Cancellations - Refunds, Deferrals and Transfers

Refunds and Deferrals. Like most races in the UK, we use the entry fees to put on the event. Because of this, we regret that once entry applications have been processed, we cannot refund any entry fees to runners who do not eventually take part or wish to pull out prior to the event. We are also unable to defer any bookings to future Events.

 

Transfers. If you are unexpectedly unable to run but know someone who can take your place then you can transfer you place. In order to do this you can log in to your participant dashboard on our online booking system using the link in your confirmation email and edit the details. As the initial registered participant is your responsibility to ensure the participant taking your place has read and accepts these terms and conditions.

 

Any transfer of registration must be completed (as defined below) at least 5 days before the Event begins.

Any transfer of registration will not be completed until:

​

The individual to whom you are transferring your registration has received an email confirming their registration.

​

If you transfer your place less than 3 weeks before the event, then you cannot change the t-shirt size, due to our printing deadlines.

Your rights to make changes

If you wish to make changes to your registration for the Dorset Mud Run please read the following information:

​

For changing your Name, date of birth, contact details, emergency contact details. please follow the link in your confirmation email to your participant dashboard. You will be able to change these details until 7 days before the event at midday.

​

For changing your t-shirt size. Due to printing deadlines you can change your t-shirt size up to three weeks before the event. This date is subject to change depending on printing demand, but all current registered participants will be informed of any changes to this date in advance, and it will be publicised on our social media channels and website.

​

For changing your wave time. If the wave time you wish to transfer into still has spaces, then it should be possible for you to change this yourself through the participant dashboard. If the start wave is fully booked (and so not available on the booking system) in some circumstances it may be possible for us to increase the start wave group numbers but this can only be done by request in writing to the Dorset Mud Run email. We cannot guarantee that it will be possible to change to a different wave time.

Our rights to make changes

Minor changes to the Event. We may change the Event:

to reflect changes in relevant laws and regulatory requirements; and to implement minor technical adjustments and improvements, for example to address a security threat, or for health and safety reasons. These changes will not affect your enjoyment of the Event.

More significant changes to the Event. In addition, we may make the following changes to these terms or the Event:

​

Significant alterations to the course, including changes to or removal of or closure of significant sections of the course;

​

Changes to wave timing for example, due to adverse weather conditions or if there are not enough participants for a particular wave.

​

Amendments to these Terms and Conditions. These Terms and Conditions may change or be updated from time to time and it is your responsibility to ensure that you remain in agreement with the current Terms and Conditions posted on our website. In the event that we make any significant changes to the Terms and Conditions we will use all reasonable endeavours to give you written notification of such changes.

The Event

Race day information. In the run-up to the Dorset Mud Run we will send your race day information to the email address you provide us with when you register for the Event.

​

If you do not receive your race day information. We aim to send the Dorset Mud Run Information Email by the Monday before the run day. If after such time you have still not received your race day information please get in touch with us at 01963 23511 or office@stockgaylard.com and we shall arrange for your race day information to be resent to you ahead of the run.

​

We are not responsible for delays outside our control. If the Event is delayed by, or must be cancelled due to circumstances outside our control then we will contact you as soon as possible to let you know and we will take steps to minimise the effect of the delay. Provided we do this we will not be liable for delays caused by such circumstances. Please note that no refund will be available if the Event is delayed by, or must be cancelled due to circumstances outside our control.

We will need certain information from you so that we can be sure to maximise your enjoyment of the Event and to keep you safe, for example, name, email address, phone number age, t-shirt size, sex, emergency contact details. These details will be requested and required to be completed during the registration process on our website. If any of these details change between Event registration and the Event, for example, if you change email address, you are responsible for contacting us to provide updated details.

Your safety at the Event

By agreeing to these terms and conditions you are confirming that:

​

  • You acknowledge that the Dorset Mud Run is potentially hazardous and may involve serious injury or death to you or others.

 

  • You acknowledge that you are participating in this event at your own risk and that The Dorset Mud Run, the sponsors or supporters of the event cannot be held liable for any injury, accident, loss or damage or public liability caused by or sustained before, during or after the event, as a result of your participation unless caused by the negligence of The Dorset Mud Run.

 

  • You meet our age requirement for the Event which is 16 - 65 years old on the day of the run.

 

  • you are physically fit and in good health to safely take part in the Dorset Mud Run and that you have no known condition that would affect the course or would cause a risk or danger to yourself or other participants.

 

  • You will seek medical advice from your doctor before participating in the Event if you have a medical condition or are taking medication that may impede your participation.

 

  • it is your responsibility to monitor your condition before and during the event and you will stop immediately if your continued participation could create a risk of danger to yourself or others, or you are advised to do so on medical advice.

 

  • You acknowledge that activities undertaken at the Dorset Mud Run are physically and mentally challenging and potentially dangerous. They include but are not limited to water based and other obstacles, crawling, jumping, swinging, running wading through stagnant water, carrying heavy objects, surface hazards and the run, all of which may also be affected by weather conditions. By registering for the Dorset Mud Run you accept that there is a risk of injury when undertaking such activities.

 

  • You understand that running, walking or climbing in cold, wet and/slippery conditions could be potentially hazardous, and are aware that the obstacles area and the area between obstacles are likely to be muddy and/or slippery so you will take necessary care to ensure you avoid injury.

 

  • You will take extra care on the course due to the nature of the course terrain, which may include, but is not limited to; tarmac roads, loose stones, rubble and pebbles, long grass, short grass, stinging nettles, tree stumps, roots, ditches, stagnant water, pot holes, uneven ground, insect bites.

 

  • You understand that the Dorset Mud Run is not a race, it is a non-competitive event. You can choose whether you walk, jog or run and you have the choice to bypass an obstacle if you find it too challenging. You are not obliged to start or complete any obstacle and can walk an alternative route if you are uncertain that you will be able to complete it. Entering the obstacle signifies that you are happy to comply with any instructions and you do so at your own risk.

 

  • You will use all equipment as instructed. If you are found to be misusing any equipment, then The Dorset Mud Run reserve the right to remove you from the course with no refund.

 

  • You understand that due to the nature of the event, minor injuries are common and include, but are not limited to; scraps, soreness, bruises, grazes, abrasions, cuts, sprains, nausea, fainting. I understand that serious injuries are less common but do sometimes occur.

 

  • You understand that the Dorset Mud Run is a participant event and contact or collision with fellow participants is a possibility.

 

  • You consent to receive medical treatment as determined by appropriate Dorset Mud Run officials and/or medical professionals if required.

 

  • You acknowledge that The Dorset Mud Run cannot be held liable for any changes made to the event for safety reasons, or as otherwise planned through circumstances beyond their control.

 

  • You will not consume alcohol, or any other substance that will impair your ability to take part safely and that the organiser has the right to refuse your entry without a refund if consumption of any of the above suspected.

 

  • You understand that you are responsible for your own safety and your own actions (including the safety of your possessions) whilst undertaking this challenge.

 

  • You will adhere to the rules and all instructions given by Event officials at all times whether given in the race day information or on the day of the Event;

 

  • You will stop and assist any other participants/attendees of the Event in need of medical attention and alert an Event marshal as soon as possible

 

  • You will not drop litter on any part of the Event ground; and

 

  • You will not wear any clothing or use any equipment that may pose a risk to yourself, other participants, spectators or Event officials.

Removal from the Event

We reserve the right to refuse to allow you to participate, or continue to participate, in the Event if you:

​

  • give cause for concern that your continued participation may cause offence or injury to yourself, spectators or other competitors;

 

  • do not meet our age requirements for the Event;

 

  • do not arrive in time for your wave start time;

 

  • are deemed to behave inappropriately; or

 

  • are, in our reasonable opinion, under the influence of drugs and/or alcohol.

 

Your removal from the Event will not entitle you to any refund.

Price and payment

When you must pay and how you must pay. You must pay the full price of the Event and administration fees when registering through our website.

Intellectual Property Rights

Your consent to being photographed etc. By agreeing to these terms and conditions you agree to us or our sponsors/partners interviewing and/or photographing and/or filming you at the Event (before and after the Event as we may reasonably require), and that you give permission to the Dorset Mud Run to use any photographs, films or other record of your participation in the Dorset Mud Run for any legitimate purpose.  

​

Our ownership of intellectual property. All intellectual property rights in or arising out of or in connection with the Event, including, but not limited to, photography and filming shall be owned by us for use at our absolute discretion (subject, where appropriate, to our privacy policy).

​

Retention of our intellectual property. Participation in the Event does not confer any intellectual property rights (by implication or otherwise) on you to use, alter, copy or otherwise deal with any of the symbols, trademarks, logos and/or intellectual property of the Event.

Other important terms

We may transfer this agreement to someone else. We may transfer our rights and obligations under these terms to another organisation.

If a court finds part of these terms and conditions illegal, the rest will continue in force. Each of the paragraphs of these terms operates separately. If any court or relevant authority decides that any of them are unlawful, the remaining paragraphs will remain in full force and effect.

​

Even if we delay in enforcing these terms and conditions, we can still enforce it later. If we do not insist immediately that you do anything you are required to do under these terms, or if we delay in taking steps against you in respect of your breaking these terms and conditions, that will not mean that you do not have to do those things and it will not prevent us taking steps against you at a later date.

RELEASE

  1. I hereby acknowledge and accept that the Dorset Mud Run and its staff and volunteers shall not be liable to me for any loss or damage arising whilst attending The Dorset Mud Run including indirect or consequential loss or damage.

  2. I hereby indemnify and agree not to hold The Dorset Mud Run or any persons associated from any personal injury, loss, or damage sustained whilst attending the event.

  3. Nothing in this disclaimer shall be construed as limited or excluding The Dorset Mud Run’s liability for:

  • Death or personal injury arises as a consequence of the organisers’ negligence.

  • Fraudulent misrepresentation.

  • Any other matter for which it would be illegal or unlawful for the organiser to exclude or attempt to exclude its liability.

AGREEMENT

  1. By registering for the Dorset Mud Run you are confirming that you have read and fully understood all the terms of this disclaimer. You confirm that you are not relying on any statements or representations by any person or entity as an inducement to my fully and voluntarily engaging in the activities at the Dorset Mud Run and assuming the risks and obligations stated above in signing this document.

  2. You acknowledge that the nature of your participating in The Dorset Mud Run and the use of the ‘The Dorset Mud Run’ facilities might be potentially hazardous and that if you are unwilling to accept the risks associated with your participation, you will not take part.

  1. If any court or competent authority finds that any provision of this document (or part of any provision) is invalid, illegal, or unenforceable, that provision or part-provision shall, to the extent required, be deemed to be deleted, and the validity and enforceability of the other provisions of this agreement shall not be affected.
